This Payment and Refund Policy applies to all purchases of digital courses, professional resources, subscriptions and related services offered by headsupvoxi through our website. These offerings focus on studio production techniques including equipment setup, camera operation, lighting design, sound engineering and workflow optimisation for television and live broadcast environments. The policy governs transactions made by customers located in the United Kingdom and explains how payments are processed, when contracts are formed and the circumstances under which refunds or cancellations may be available.
Prices, Currencies, Taxes and Additional Charges
All prices displayed on the website are shown in British Pounds Sterling (GBP) and include value added tax (VAT) at the prevailing rate unless otherwise stated. Additional charges such as currency conversion fees applied by your card issuer or bank may arise if payment is made from outside the UK. headsupvoxi does not levy any separate handling or processing fees beyond the advertised price. Promotional discounts are applied at checkout and are subject to the terms displayed at the time of purchase. Prices may be adjusted from time to time; any change will not affect orders already confirmed.
Accepted Payment Methods, Authorisation and Security
We accept major credit and debit cards, PayPal and bank transfers for course and subscription purchases. Payment is authorised at the point of checkout through secure third-party processors that comply with PCI DSS standards. Your card details are never stored on our servers. Authorisation confirms sufficient funds are available; actual debiting occurs once the order is accepted. In the event of suspected fraudulent activity, we reserve the right to withhold delivery and request additional verification before processing.
Order Confirmation and Contract Formation
When you place an order you will receive an acknowledgement email confirming receipt of your request. A binding contract is formed only when we send a subsequent confirmation email stating that the order has been accepted and access credentials or download links have been issued. Until that point either party may cancel without liability. Digital content is made available immediately after contract formation unless you expressly agree to waive the 14-day cooling-off period.
Cancellation Rights and Applicable Periods
Under the Consumer Contracts Regulations 2013 you have the right to cancel most distance contracts within 14 days of the date the contract was concluded. For digital content and subscriptions this right is lost once download or streaming access begins if you have given prior express consent and acknowledged that you thereby lose the cancellation right. Refund Eligibility, Exclusions and Non-Refundable Items
Refunds are available where cancellation occurs within the statutory 14-day period and before access to digital materials has commenced. Once access is granted, refunds are granted only at our discretion or where the content is defective or does not match its description. Non-refundable items include completed live workshops, personalised consultation sessions and any promotional or heavily discounted bundles explicitly marked as final sale. Subscriptions may be cancelled at any time but no prorated refund is provided for the unused portion of the current billing cycle.
Procedure to Request a Refund

Your message should include your full name, order number, date of purchase and a clear statement that you wish to cancel. For defective content please also describe the nature of the fault. Upon receipt of a refund request our team will examine the claim against the policy criteria. You will be notified of the decision by email within ten working days. If approved, a refund reference will be issued. If rejected we will explain the reasons and outline any available alternatives such as credit toward future purchases. Refund Method, Processing Time and Receipt of Funds
Approved refunds are returned using the original payment method. Credit or debit card refunds typically appear on your statement within five to ten working days although some issuers may take longer. PayPal refunds are usually processed within three working days. Bank transfers are completed within seven working days. We will send a confirmation email once the refund has been initiated. You are responsible for checking your statements; if funds have not arrived within the expected window please contact us.
Special Rules for Digital Content, Subscriptions and Promotional Offers
Digital courses are supplied as downloadable files or streamed access. Once the download link is activated or streaming begins you lose the automatic right to cancel. Subscriptions renew automatically until cancelled; you may cancel future renewals at any time through your account dashboard. Promotional offers such as free trial periods convert to paid subscriptions unless cancelled before the trial ends. Refunds for promotional purchases are limited to the amount actually paid after discounts.
Failed Payments, Duplicate Charges, Chargebacks and Suspected Fraud
If a payment fails we will notify you and attempt to reprocess the transaction. Duplicate charges are investigated and refunded automatically where verified. Chargebacks initiated without first contacting us may result in suspension of your account pending resolution. Suspected fraudulent activity leads to immediate account review and may be reported to relevant authorities in accordance with UK law.
Mandatory Consumer Rights That Cannot Be Excluded
Nothing in this policy affects your statutory rights under the Consumer Rights Act 2015, Consumer Contracts Regulations 2013 or UK GDPR and the Data Protection Act 2018.
